Understanding Roles

Postlyo has three team roles, each with different permission levels:

Complete control over the entire site

Site Owners have unrestricted access to all features:

  • Create, edit, delete, and publish any post
  • Manage all categories and media
  • Invite and remove team members
  • Change team member roles
  • Access all settings (billing, domain, SEO, etc.)
  • View analytics and reports
  • Moderate all comments
The account that created the blog is automatically the Site Owner. There can be multiple Site Owners if needed.

Editors can manage content but don't have access to site settings:

  • Create, edit, delete, and publish any post
  • Manage all categories and media
  • Moderate all comments
  • View analytics

Authors can write content but have limited access to other features:

  • Create new posts
  • Edit and delete their own posts
  • Upload media for their posts

  • ❌ Cannot moderate comments
  • ❌ Cannot access settings

The Author role is ideal for guest bloggers or contributors who should only manage their own content.

Inviting Team Members

Only Site Owners can invite new team members. Here's how:

Go to Team

Click Team in the sidebar.

Click Invite Member

Click the Invite Member button in the top right.

Enter their email

Type the email address of the person you want to invite.

Select a role

Choose whether they should be a Site Owner, Editor, or Author.

Send invitation

Click Send Invitation. They'll receive an email with a link to join.

Adding a new team member

Pending invitations

Invited users appear in your team list with a "Pending" status until they accept. You can resend the invitation or cancel it if needed.

Managing Your Team

The Team page shows all current members and pending invitations. From here, you can change roles or remove members.

Changing Roles

Need to promote an Author to Editor, or give someone Owner access? You can change roles at any time.

Click on the member

Find the team member in the list and click their row.

Select new role

Use the role dropdown to select their new role.

The change takes effect immediately.

Promoting to Owner

Be careful when giving someone Site Owner access. They'll have the same permissions as you, including the ability to remove other owners.

Removing Members

When someone leaves your team, you can remove their access:

Find the member

Go to Team and locate the person you want to remove.

Click the menu

Click the menu icon (three dots) on their row.

Select Remove

Click "Remove from Team" and confirm the action.

Content is preserved

When you remove a team member, their posts and content remain on your blog. They just lose access to the dashboard.

Best Practices

🎯 Use the right roles

Give people only the access they need. Most contributors only need Author access. Reserve Editor and Owner for trusted team members.

👥 Have multiple Owners

Consider having at least two Site Owners. This ensures someone can always manage the site if one person is unavailable.

🔄 Review regularly

Periodically review your team list. Remove people who no longer need access and update roles as responsibilities change.

📝 Communicate expectations

Make sure team members understand their role and what they can/cannot do. This prevents confusion and ensures smooth collaboration.
